PayContactless Merchant Admin Manual

PayContactless brings in-person payments to smart mobile devices by allowing the merchant use their smart device as a payment acceptance tool (similar to the traditional POS) in a way that is fast, safe and involves little or no contact.

The bank needs a way to manage all activities that occur within their organization on the PayContactless platform, this is why we have the organization web portal. PayContactless customers are not tied to a specific merchant however are customers of a particular organization.

Merchants are grouped under a specific organization. An organization is an entity capable of maintaining an entire PayContactless system and thus have their own Administrative Portal where merchants are managed.

Login

A user can Login into the system by following the steps below:

1.    User enters their Prophius email address

2.   User enters their Prophius password

3.   User clicks Login

4.   Login successful

Reset Passwword

Dashboard

The user can view the following on the dashboard:

  1. Total Transaction Volume
  2. Total Transaction Amount
  3. Total Number of Merchants
  4. Top Performing Merchants
  5. Transaction Graph of Successful vs Failed Transaction
  6. Merchant graph of Active and Inactive Merchants
  7. Transaction Breakdown
  8. Payment Application Statistics Graph showing Live Applications, Active Applications, Activated Applications and In-Active Applications.
  9. User can also filter by date ranges to view transactions between certain periods.

Device Management

The user can view the following under the Device Management:

  1. App ID
  2. First Name
  3. Last Name
  4. Registration Date
  5. Activation Date
  6. Last Seen
  7. Status

Devices have 4 statuses namely;

  1. Active: This refers to a device that is transacting within a backend specific time period
  2. In-active: This refers to a device that has not used PayContactless after a backend specific amount of time. The backend would determine how long a device must be idle before being tagged as in-active.
  3. Blacklist: This is a device that has been banned from using the PayContactless service. In order to Backlist or Re-activate a blacklisted device, a reason must be provided.

Reports

The merchant can view the transaction reports either in a graphical or tabular form.

The user can view the following:

  1. Transaction Reports
  2. Settlement Reports

To view details of the transaction reports the user has to follow the steps below:

  1. The user selects Open under transaction reports

The user can view the following under transaction reports in graphical or tabluar manner:

  1. Graph  or Tables showing the successful and failed transactions
  2. Total transaction volume
  3. Total transaction amount
  4. Graph showing the transaction breakdown
  5. Payment Application Statistics showing the live applications, active applications, activated applications and the in-active applications.

User can also view the settlement reports in a graphical or tabular form: This section shows the following:

  1. The user selects Open under the settlement reports.

The user can view the following under settlement reports in a graphical or tabular manner:

  1. Total settlements
  2. Pending settlement
  3. Graph  or Table showing the Settlement Payouts

Transactions

This section shows the transactions from a Merchant.

For a user to view the details of a particular transaction, the user needs to follow the steps below:

  1. User clicks transactions after a successful login
  2. User clicks open beside a particular transaction
  3. User views the transaction receipt for a particular transaction.

The receipt shows the following:

  1. Transaction ID
  2. Transaction Status
  3. Date and Time
  4. Merchant Category
  5. Sold By
  6. Merchant
  7. Amount
  8. Sold To
  9. Description
  10. Print Receipt
  11. Download Receipt

User Management

he user can view the User Management of their staff which include:

  1. First Name
  2. Last Name
  3. Created by
  4. Role
  5. Last seen
  6. Status.
  7. New User

To view details of a particular staff the user follows the steps below:

  1. Clicks open beside a particular staff

User can view the following under a particular staff

  1. Status of a staff
  2. Total Transaction Amount
  3. Total Transaction Count
  4. Audit Logs
  5. Date Staff was created
  6. Who created the Staff
  7. Date and time staff was last seen
  8. Email address
  9. Phone number
  10.  Disable user
  11.  Delete Account          

To create a new user the following steps need to be followed:

  1. User clicks New User on the user page
  2. Enters new user email address
  3. Enters new user phone number
  4. Selects user role
  5. Clicks Create User

Audit Logs

Audit logs give insights into all activities and action that are done on Paycontactless.

The user can view these insights by following the steps below:

  1. The user selects audit logs
  2. The user can view the details below under staff:
  • First Name
  • Last Name
  • Action Performed
  • Time Stamp
  • Open button
  • Search by First Name
  • Filters

When the user clicks open under a particular merchant, the user can view the details below:

  • Action Performed by
  • Action performed
  • Action Description
  • Time of Action
  • Action Performed On
  • Status
  • Action

3. The user can view the details below under My logs:

  • Action Performed
  • Action Description
  • Action Performed On
  • Time Stamp

Merchant Profile

The user can view their profile by following the steps below:

  1. The user selects the picture on the top right of the dashboard screen
  2. The user selects my profile
  3. The user can view details regarding the profile

The user can edit their profile by following the steps below:

  1. The user selects edit profile
  2. The user enters their first name
  3. The user enters their last name
  4. The user enters their phone number
  5. The user selects change image to change their profile picture
  6. The user selects the save changes button

The user can change their password by following the steps below:

  1. The user selects change password
  2. The user enters current password
  3. The user enters new password
  4. The user confirms new password
  5. The user selects change password button

How can I download the PayContactless App

The PayContactless App is available on the Google Play store. If you have an Android 10' version or later, search PayContactless on your Google Play Store and download the app.

What type of cards can I use on the app?

Contactless cards. Most recently issued cards are contactless. To confirm that your card is contactless, look for an icon similar to a Wi-Fi symbol on your card.


How do I make a payment on the PayContactless App?

PayContactless is a payment app that lets you make and receive in-store payments in a faster, safer, and contactless way.

PayContactless allows for touch-free payments from start to finish.

How do I know the customer's card is contactless?

NFC stands for Near Field Communication technology which allows users to make secure transactions, exchange digital content and connect electronic devices with a touch.

Can I use my POS device for Tap to Phone payments

Only a contactless-enabled POS device can accept contactless payment.

How do I accept contactless payment via my POS machine?

 The customer simply taps their contactless card, smartphone or wearable devices behind your smartphone to make a payment.

Do I need to unlock my phone to accept payment on the App?

Yes, you need to unlock your phone to accept contactless payment.

Do I need an Internet connection to use PayContactless?

PayContactless works both offline and online.

Is there a daily transaction limit for customers?

No, there is no daily transaction limit for customers. 

Is there a daily transaction limit for merchants?

No, There is no daily transaction limit for merchants.

Can I print the customer's receipt?

Yes, merchants can print customers' receipts from the App.

Can I switch my PayContactless App to a new device?

Yes, a you can switch their PayContactless App to a new device using the same registration details.

How do I know my card is contactless?

Your card should have the contactless logo.

What type of device supports PayContactless?

Any NFC enabled device running on Android 11 and later.

Can I make a Contactless Payment?

Yes, you can if you have a smartphone with NFC capabilities or if your card has a contactless symbol.

Where should I tap when making contactless payment?

Tap your NFC-enabled smartphone or contactless card behind the Merchant's smartphone or on their terminal's contactless symbol.

Why should I use PayContactless?

PayContactless is fast, secure, and convenient. Therefore, it is the ideal payment method for places with high cash turnover, and consumers are usually in a hurry.

How secure is PayContactless?

PayContactless transactions use the same secure technology as EMV chip card transactions but provide a faster and more pleasant customer experience.

How do I know if a transaction is successful?

Successful transactions make a beep sound and show a transaction approval sign

What is the maximum amount I can pay using PayContactless?

Please contact your bank to determine your country's contactless payment limit.

Can I track my daily spending on the PayContactless App?

Yes, you can see your transaction history on the PayContactless App.


Can I pay a partial refund to my customer, on agreement?

Yes, you have two options for refund; full and partial amounts.

How do I get a PayContactless NFC-enabled phone/ device

Please contact the support team for steps on how to get an NFC enabled device for your business.

I have successfully registered and logged in to PayContactless, but I am unable to transact. Why?

Your registration would be approved within 48 hours, making your terminal active for card payments, however, you can transact on other payment options immediately after registration is complete.

How can I reset or Change my Password?

 Log into the PayContactless app; Click on my profile icon on the top right corner of the dashboard and proceed to update the password.

How can I add a new outlet or attendant on the merchant portal?

As a signed in merchant on the portal, under outlets select ‘create new outlet’. On the business App, click on store outlets to create or manage existing outlets.

Under the newly created outlet click on add attendant. You may assign or reassign attendants via the web portal.

How do I know if my device is NFC enabled?

On your Android device, navigate to settings and search for NFC and this should pop up if it is enabled on the device. You may also navigate to the Bluetooth menu (network settings) to check.

My NFC enabled device is unavailable/missing; would I need to register a new device ?

Yes, and your details would be transferred to the current one.
